Privacy Policy

SleepScorer respects users' privacy. This Privacy Policy explains what information SleepScorer collects, how it is used, and what choices users have.
1. Who SleepScorer is for
SleepScorer is designed for researchers and labs.
It is not intended for patient use, diagnosis, medical decision-making, children, or identifiable health-related data.
Users should not upload patient data, personal health information, or other identifiable sensitive data.
2. What information SleepScorer collects
SleepScorer may collect:
- account information, such as email address and login details;
- optional profile information, such as name, profession, and institute;
- uploaded files, including EDF files and signal data;
- annotations, notes, and other text entered in the app;
- messages sent through the optional AI chat feature;
- analysis results and other outputs generated by the service;
- emails and attachments sent for support;
- limited technical information such as logs, browser information, timestamps, and basic usage analytics.
3. How the information is used
SleepScorer uses this information to:
- create and manage accounts;
- store files and user content;
- run analyses and generate results;
- provide the optional AI chat feature when a user chooses to use it;
- respond to support emails and account-related requests;
- keep the service running securely and reliably;
- fix bugs, review technical problems, and improve the service.
SleepScorer does not sell personal data.
SleepScorer may review content internally when reasonably needed for support, debugging, quality control, analytics, or internal benchmarking.
SleepScorer does not use user content to create public datasets.
4. Sensitive data
SleepScorer is not intended for identifiable health-related data or patient use.
Sleep recordings and related files can still be sensitive. Users should only upload data they are allowed to use and share.
If a user uploads information about another person, that user is responsible for making sure they have the right to do so.
5. Where data is handled
SleepScorer is hosted in Frankfurt, Germany using Render.
Uploaded EDF files and signals are stored in AWS S3 in Frankfurt.
Support email is handled through Fastmail. Service emails may be sent through Amazon SES. Basic analytics may be collected through Plausible.
SleepScorer currently expects service data to stay within the EEA.
6. How long information is kept
Account data, uploaded files, annotations, notes, chat content, and results are generally kept until the user asks for them to be deleted.
If a user asks for deletion, SleepScorer will delete the account and associated service data as soon as reasonably practical, with a target of no later than 60 days, unless some information needs to be kept for security or legal reasons.
Support emails are kept in Fastmail and are not automatically deleted when account or service data is deleted, unless there is a specific reason to delete them as well.
Logs and analytics data may be deleted or overwritten as part of normal system operation.
7. User choices and rights
Users can email hello@sleepscorer.com to:
- ask what data SleepScorer has about them;
- correct account or profile information;
- ask for their account and associated data to be deleted;
- ask questions about how their data is handled.
At the moment, deletion requests must be made by email.
If a user asks for deletion, the default approach is to delete the whole account and associated service data, unless the user asks otherwise.
Users may also have additional privacy rights under applicable law.
8. Complaints
If a user believes their data has been handled improperly, they can make a complaint to Persónuvernd, the Icelandic Data Protection Authority.
9. Security
SleepScorer takes reasonable steps to protect information submitted through the service.
However, no system can guarantee complete security.
10. Changes
This Privacy Policy may be updated from time to time. If that happens, the updated version will be posted here with a new effective date.
